WhenWeGo — Support

Plan trips together — dates that work for everyone, one shared plan.

About WhenWeGo

WhenWeGo is a group trip planner for iPhone and iPad. Each person enters their own free dates, departure city, budget and preferences; WhenWeGo finds the dates that work, compares destinations, keeps one shared plan for stays, travel and the day-by-day itinerary, and lets the group decide through proposals and votes. An optional assistant runs on the device (Apple Intelligence) and can only propose — people accept or reject.

Frequently asked

Do I need an account?

No. WhenWeGo uses your iCloud account (the one your iPhone is signed into). There is no WhenWeGo account, password or sign-up.

How do I invite people?

Open the trip and tap Invite. WhenWeGo uses iCloud sharing, so you can send the invitation by Messages, Mail or a link. Invited people need to be signed into iCloud on their device.

What can an invited person see and change?

Everyone on a trip sees the shared plan: trip name, dates, destinations, proposals and votes, stays, travel legs, itinerary, shared expenses, and each person's name, departure city, interests, free/blocked date ranges, travel limits and budget level (1–5). Each person edits only their own details, travel and stays; the organizer can edit everything, is the only one who chooses dates and destinations or accepts proposals, and the only one who can remove people. Read-only invitations are available too.

Is my budget visible to the group?

Your exact budget figure is stored in your own iCloud and is never put into the shared trip unless you turn on “Share my budget figure” yourself. The group sees a budget level (1–5) so destinations can be compared.

Does WhenWeGo book flights or hotels?

No. WhenWeGo helps you plan and then hands off to booking sites with your dates and cities prefilled. Prices you type in are shown as entered by you, with the date you entered them. WhenWeGo never shows live fares or availability and never marks anything as booked on its own — you mark a stay or flight as booked after you have booked it with the provider.

Where does the weather information come from?

From Open-Meteo's historical reanalysis data: WhenWeGo averages the last five complete years for the month of your trip and labels it as a recent average — not a forecast. Open-Meteo.com, CC BY 4.0.

Where do exchange rates come from?

European Central Bank euro reference rates via the Frankfurter API. They are indicative planning rates, usually updated once per working day, not the rate your card or bank will use. WhenWeGo shows the rate date and when it last retrieved them.

Does the assistant send my trip to an AI company?

No. The assistant uses Apple Intelligence on your device (iOS 26 and later, on supported devices). Nothing you type to it leaves your device. On devices without Apple Intelligence the assistant explains that it isn't available; every other planning feature works.

How do I leave or delete a trip?

Trip settings → “Manage or leave this trip” for a trip you were invited to; “Delete trip” for a trip you organize (this deletes it for everyone it is shared with). When you confirm leaving, your access ends and the private budget figure you entered for that trip is deleted from your iCloud. Your name, dates, stays and travel stay in the organizer's copy of the plan until the organizer removes you under People — ask them if you want that gone too.

Can I export the plan?

Yes: share it as text or PDF from the trip screen at any time.
